Job Summary:

As a Workplace Experience Associate - Intern, you will be supporting the Workplace Experience Manager in creating an engaging and positive work environment for our employees at the Mountain View office. This internship provides an opportunity to gain hands-on experience in workplace management, employee engagement, and administrative functions. This role requires the employee to be physically present at the Mountain View office 1-2 days a week, with the rest served as remote working. Your tasks will be concentrated on initiatives and programs specific to the Mountain View office and its employees.

This is a part-time internship position that pays $22.50/hour, and the role is expected to require approximately 16 hours per week until the end of 2024. 

Key Responsibilities

Office Operations, including, but not limited to the following:

  • Check incoming mail and packages, sort and distribute mail to the appropriate recipients, and forward mail or packages as needed.
  • Ensure conference rooms are properly set up for meetings while coordinating with the IT department for any technical or maintenance issues related to conference room equipment.
  • Maintain the cleanliness and organization of the office for optimal efficiency. Monitor office supplies inventory and reorder as necessary to ensure adequate stock levels. 
  • Address any facilities-related issues promptly or escalate to the US Workplace Experience Specialist.
  • Check voicemail messages regularly on Google Voice, and respond to or forward voicemails to the appropriate team members for follow-up.

Collaborate with the US Specialist:

    • Work closely with the US Workplace Experience Specialist to understand company-wide initiatives and align local activities with overall employee engagement goals.
    • Attend regular meetings with the US Specialist to share insights, discuss upcoming events, and ensure a cohesive approach to employee experience.
    • Collaborate with the US Workplace Experience Specialist on the planning and executing of office events that promote team building and a positive work environment. 
    • Provide suggestions based on regional knowledge and serve as the point of contact for events & other office-related items. 

Employee Engagement:

    • Work with the Workplace Experience Manager to organize and execute employee engagement events and activities.
    • Assist in creating and implementing initiatives that foster a positive workplace culture.
    • Solicit feedback and continuously improve employee engagement activities based on employee preferences.

Communication and Promotion:

    • Communicate important information to employees regarding workplace updates, events, and policies.
    • Collaborate with various departments to ensure smooth coordination of workplace-related activities.

Point of Contact:

    • Serve as a point of contact with vendors and property management to secure services, supplies, or venues required for events and activities.
    • Assist in the development of vendor relationships and seeking new vendors when appropriate. 

Qualifications:

  • Currently pursuing a degree in Business Administration, Human Resources, Event Management, or a related field.
  • Strong organisational and multitasking skills.
  • Good communication and interpersonal skills.
  • Enthusiastic and proactive approach to problem-solving.
  • Ability to work collaboratively in a team and independently when required.
  • Proficient in Slack, Google Drive/Docs/Sheets/Slides, Zoom, and comfortable using technology for communication and coordination.
