About the Role

We are seeking an experienced and dynamic Front Desk Coordinator to oversee our office operations and ensure an exceptional workplace experience. The ideal candidate will be expected to work on-site Monday through Friday 8:00 AM - 4:30 PM Pacific Time, while maintaining flexibility to maintain a consistent presence and ensure business needs are met.

  • Compensation Range: $21.84 - $25.23 / hour

Compensation ranges are determined by role and location. The range displayed on each job posting reflects the pay range for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.

What You'll Do

  • Act as the first point of contact for our guests, providing a warm welcome and efficient assistance alongside managing incoming calls with professionalism.
  • Support overall office operations, working directly with the Site Operation Management and the building engineers to ensure all environments are well maintained.
  • Manage office supplies, snack, and beverage inventory, ensuring all communal areas such as kitchens and meeting rooms are stocked, organized, and operational.
  • Oversee the logistical aspects of office administration, including supporting in office new hire welcome and tour, event preparations, parking pass coordination, as well as mail distribution.
  • Provide comprehensive administrative support to executive staff when necessary.
  • Maintain on-site support through use of the Site Operations ticketing system, ensuring a smooth operation of all office systems.
  • Support the team with administrative tasks related to ongoing projects and office upgrades.

What You'll Bring

  • Proven experience in office administration or a similar role, demonstrating a capability to handle office administrative responsibilities.
  • Exceptional communication skills, both written and verbal with the ability to interact and present oneself professionally with stakeholders at all levels.
  • Strong organizational and time management skills with an aptitude for multitasking and prioritizing work effectively under pressure.
  • A proactive approach to problem-solving and decision-making.
  • High level of proficiency with Google G Suite (email, calendar, docs, sheets) and familiarity with Apple hardware and software environments.
  • Basic IT troubleshooting skills and familiarity with office technical equipment.
  • Ability to stand and sit for extended periods of time, as well as lift and carry at least 25lbs- frequent use of carts and hand trucks for transporting materials.
