Ellevation is in search of a part-time Administrative Assistant/Office Manager to help us maintain our open and collaborative culture. In this role, you will manage our Boston office, assist with in-person events, and support our Leadership team with Administrative tasks. 


On-Site: This is an in-person part time role located in our Boston office

Preferred Hours: Monday-Friday 10:00am-2:00pm or Tuesday, Wednesday, Thursday from 8:00-5:00pm. Hours may vary from week to week depending on office and support needs. This role is overtime eligible. 

Working conditions: Must be able to walk to local errands and lift up to 50 pounds.

Your Responsibilities:

  • Manage office operations including mail sorting, badge creation, overall office organization, etc.
  • Coordinate lunch orders for In-Office Wednesdays and individual team onsites 
  • Support Leadership team with expense reports, travel booking, and miscellaneous needs
  • Serve as point of contact for vendors, such as Boston Beans, Cintas, Boston Organics, Pixel, etc.
  • Maintain the all technical equipment and assist with occasional troubleshooting 
  • Occasionally support Curriculum Associates with in-person meetings and events hosted in the Ellevation office 
  • Submit work orders and collaborate with building management at 50 Milk St to maintain the office space to Ellevation standards

Within 1 Month, you will:

  • Onboard and learn about Ellevation’s mission to improve outcomes for MLL students.
  • Understand Ellevation’s values and how our teams collaborate to drive results.
  • Learn our internal communication tools, norms, and practices, including G-suite, Slack, Concur, Zoom.
  • Manage the office operational tasks, which include: collaborating with our IT vendor to keep conference rooms up and running, organizing in and out going mail, ordering office supplies, etc.
  • Coordinate meetings, meals, and travel for the leadership team and other departments as needed 
  • Complete monthly expense reports for yourself and LT Members in need of assistance

Within 3 Month, you will:

  • Be the point person for all external vendors, office supply requests, and maintenance requests, such as: Pixel, Red Thread, Boston Beans, Grizzly, and EzCatering.
  • Take on ownership of the DevPro Bi-Weekly All Hands preparation and Wiki Uploads.
  • Fully own the management of the office and any improvements needed to nurture a thriving office culture.
