We are seeking an agile administrative professional to expertly manage diverse functions, from executive assistance to overall office operations and upkeep.
Performance Objectives
Duties include, but are not limited to:
Office Management & Support:
  • Greeting and welcome visitors
  • Receive and coordinate office mailings - monitor/track packages, shipments, mail, etc. Maintain reception area/boardrooms in a tidy and presentable manner
  • Ensure the kitchens are tidy and that the dishwashers are kept up Maintain office supplies; order new supplies as needed.
  • Maintain office snacks and refreshments; order items on weekly basis within budget provided. General office service duties as assigned, including occasional local errands.
  • Coordinate all building maintenance with Facilities
  • Assist departments w/various administrative tasks as needed. Parking validation/management
  • Work closely with Facilities -- parking, access card management, etc. Responsible for ordering business cards
  • Assist in the development and usage in all SOP documents required for the team

Executive Support:
  • Calendar management and scheduling Travel coordination and arrangements Meeting coordination
  • Administer expense reports
  • Event & Meeting Coordination:
  • Lead and execute office social events
  • Oversee Office Catering and make arrangements for other meeting logistics
  • Provide backup support for reception and other administrative duties as needed.

Competitive Candidate Profile
  • Associates or Bachelor Level Degree or relevant work experience equivalent 7+ years of relevant work experience
  • Works independently with general supervision.
  • Applies practical knowledge of job area typically obtained through advanced education and work experience.
  • Works independently with general supervision.
  • The problems faced are difficult but typically not complex.
  • May influence others within the job area through explanation of facts, policies and practices. Excellent communication and interpersonal skills
  • Excellent organizational, follow-through and workload planning skills with the ability to juggle multiple priorities while adhering to deadlines
  • Resourceful, highly organized, client focused Superior typing skills and careful attention to detail Proficient Microsoft Office Suite skills required Attention to detail for projects both small and large.
  • Ability to maintain confidential information and handle sensitive documents.

This role is eligible for: Variable Compensation
Salary Range: $80,000-$90,000 base plus 5% bonus
